Vietpower Travel, operator of vietpowertravel.com, provides services in Vietnam, Laos, Cambodia, and Thailand.
By purchasing any service from Vietpower Travel, you are entering into a contract with us. Please read the following Terms & Conditions carefully before making a booking.

1. Quotation

• A quotation (including itinerary and services) will be sent via email.

• Quotation is subject to change before deposit payment, due to supplier cost fluctuations (entrance fees, tolls, fuel, etc.).

• Vietpower Travel reserves the right to adjust prices up or down before receiving the deposit.

2. Deposit & Final Payment

• Deposit: Typically 30% of the total tour cost at booking (via Credit Card or Bank Transfer).

• Final payment: Due upon arrival (details provided by travel consultant).

Notes:

• We prefer cash for the final payment to avoid additional fees.

• Bank Transfer: Complete at least 21 days before departure and send us the bank slip. Ensure details are correct.

• Credit Card: We recommend paying before arrival to avoid processing or security issues.

• Failure to pay by deadline may result in service withdrawal.

3. Payment Methods

Credit Card Payment (VISA/MasterCard)

• A 3% bank fee surcharge applies.

• Required documents:

  • Authorization Form (completed and signed)

  • Copy of both sides of your credit card

  • Copy of passport (first page with photo & ID)

  • Approval Letter (completed, leave date blank)

• Once we receive these documents, an invoice will be sent via email for your records.

• The charge will appear as Vietpower Travel.

• Send scanned documents to sales@vietpowertravel.com.

Bank Transfer & Cash

• Bank fees (if any) are borne by the customer.

• Bank account details provided upon request.

4. Confirmation

• Booking confirmation is typically sent via email within 2 days after deposit.

• Urgent confirmation can be provided at the time of reservation.

• Any changes to services will be notified by email or phone.

5. Cancellation & Refund

Tour Cancellation Policy and Fees: If you decide to cancel your tour after the booking has been confirmed and full payment has been made, Vietpower Travel’s cancellation policy will depend on the type of services you booked and the cancellation/refund policies of each service provider (such as airlines, hotels, etc.). In general, cancellation fees are applied as follows:

• Cancellation more than 45 days before departure: 10% of the total tour cost.
• Cancellation 21 – 44 days before departure: 20% of the total tour cost.
• Cancellation 5 – 20 days before departure: 30% of the total tour cost.
• Cancellation 1 – 4 days before departure: 50% of the total tour cost.
• No-show or cancellation without prior notice: 100% of the total tour cost.

Notes: In case of cancellation, please contact your Vietpower Travel consultant as soon as possible to discuss the reason and specific cancellation terms based on the services and booking details. Vietpower Travel always strives to find the most satisfactory solution for both parties.

6. Policy for Children

In general, our child pricing policy is applied as follows. However, depending on the services you book with Vietpower Travel, our consultant will provide the exact child price for each specific booking.

• Under 5 years old: Free of charge for the full land tour when accompanied by at least two fully paying adults and sharing the same bed. Airfare is applied according to the airline’s policy.
• From 5 to under 8 years old: 50% discount on the full land tour when accompanied by at least two fully paying adults and sharing the same bed. Airfare is applied according to the airline’s policy.
• From 8 to under 12 years old: 75% of the total tour cost when accompanied by at least two fully paying adults and sharing the same bed.
• 12 years old and above: Charged as an adult.

Note: In all cases above, if an extra bed is required, the cost will be charged as an adult.

7. Unused Services

No refunds/exchanges for unused services (meals, tours, accommodation, transport, etc.).

8. Complaints & Claims

• Notify local guide/representative immediately during the tour.

• Claims must be submitted via email within 21 days after tour ends.

• Vietpower Travel will mediate with service providers to resolve issues.

9. Responsibilities & Force Majeure

Vietpower Travel is not liable for losses caused by:

• Weather, equipment breakdown, government actions, strikes, riots, theft, epidemics, customs issues, terrorism, or other force majeure.

• Loss of property, injuries, or risks associated with activities.

10. Itinerary & Travel Documents

• Itinerary/accommodation may change due to unforeseen circumstances. Alternatives will be provided where possible.

• Client responsibility: valid passport (6+ months), visas, and required documents.

• Vietpower Travel is not liable for missing documents.

11. Insurance

We strongly recommend purchasing personal travel insurance (trip cancellation, medical, etc.).

12. Early Check-in

• Standard check-in: 14:00.

• Early check-in not included unless specified; surcharge may apply.

13. Smoking

Smoking is prohibited on all Vietpower Travel tour transport.

14. Accommodation

• Confirmed only after deposit payment.

• If listed option is unavailable, we provide alternatives of similar standard.

15. Holidays & Special Events

During holidays/events, some sites/services may be closed or restricted. Alternative arrangements will be offered when possible.

16. Privacy Policy

• Your personal details are used only for booking and registration.

• Vietpower Travel is not responsible for third-party use of data.

---

17. Personal Data

• Your name, email, and phone may be used for marketing unless you opt out (via email).

• Photos/videos taken during tours may be used for marketing unless you inform us otherwise.
